Responsibilities:
Providing full arrange administrative support to Top Executive, responsibilities and essential job functions include but are not limited to the following:
· Consistently offers professional, engaging and friendly service
· Assisting Top Executive in problem-solving regarding his personal infrastructure;
· Incoming calls/incoming and outgoing emails screening;
· Organization of business trips, meetings and negotiations;
· Travelling support (including private jet flights), coordinating drivers, etc.
Requirements:
· Higher education
· Must have at least 3 years secretarial/administration experience
· Previous experience as a Personal Assistant to Top Executives
· Highly organised and efficient with a project orientated approach to managing Manager's time, together with the ability to produce high quality work with particular attention to detail
Personal qualities:
· Strong communication, presentation skills
· Initiative, attentive, organized and flexible
· Ability to work under pressure and handle multiple tasks
· Ability to work under very tight deadlines
· Fluent English (both oral and written) /Russian

Scope of duties
Coordination
· Diary management – co-ordinating, gate keeping, arranging of meetings, ensuring that the schedule is adhered to conflicting priorities and multiple demands on time
· Preparing materials for meetings with any additional material printed in advance
· Arrange meetings, both internal and external (including conference calls and video conferences), taking account of complex diaries, manage telephones
· Draft / prepare correspondence (email, letters)
· Liase with team members, build and nurture relationships with internal and external partners
· Translate and localize markeing materials when needed, draft localized version of documents
· Assist with preparation of paperwork for various projects (managing publishing and printing orders, POS materials, ensuring managers are prepared for meetings with extra documents)
· Collect and archive reports, letters, contracts and bills
Analytics
· Review press and market reports on the company and competitor products,
· Maintain filling and staitionery at the required levels
