Commercial real estate is one of the key areas of IКЕА business in Russia.IKEA Shopping Centres Russia is the owner, investor and developer of MEGA Family Shopping Centers in Russia.MEGA shopping malls have to a large extent determined the Russian retail market of today, having brought to our country the world standards of shopping and entertainment.
Now IKEA Shopping Centres Russia is looking for a Receptionist in MEGA Nizhniy Novgorod.
At this position we expect you to be the first line of communication for external partners, to support the Lines manager in ensuring daily uninterrupted operation of the Reception and the Centre Administration and to provide administrative support to the Centre Administration team members.
Responsibilities:
Receive all visitors, phone calls, tenants’ requests and applications; refer them to respective persons within the Centre Administration; receive and distribute post and mails;
Ensure that the Centre Reception is timely opened, maintained clean and in professional order, equipped with all necessary supplies;
Provide administrative support to the Centre Administration staff (preparation of documents, reports, translations, administration of contact lists, etc.);
Maintain the Centre filing system in accordance with corporate policies related to documents handling and archiving;
Support the Line manager in smooth operation of the Centre Administration office and other administrative premises used by the Centre staff (including supplies, operation of office equipment, etc.);
Support the Line manager in organization and coordination of meetings and staff events, travel arrangements for the Centre staff and other liaison functions;
Carry out other tasks as assigned by the Line manager;
Ensure professional and timely response to the clients’ requests;
Assist the Centre Administration staff with their projects.
Requirements:
Higher education;
Experience as a secretary at least 1 year;
Fluent verbal and written communication skills both in Russian and English;
Advanced PC user, high level of proficiency in Microsoft Office applications;
Attendance & punctually;
Strong interpersonal and communication skills, able to maintain professional attitude in conflict situations;
Customer-oriented;
Team-player;
Self-organized, able to handle multiple tasks;
Able to work under pressure (over time if needed), act calmly in emergencies.
