Personal Assistant to General Director:
Performance of tasks set by General Director
Arrangement of business meetings, phone calls and teleconferences for the Director and Top Management of the company
Record and distribution of incoming and outgoing correspondence relating to General Director, control of documents flow upon Director’s request
Technical support to General Director (copying, typing, scanning, presentations preparation, etc)
Drafting and editing business letters for the Director
Visa supports, rendering assistance with invitations and obtaining visas to Moscow and Head offices specialists
Organization of business trips of the Director (visa support, hotel booking, transfer arrangement, agenda compilation, etc)
Organization of foreign management’ business trips and support them in the territory of RF (visa support, hotel booking, transfer arrangement, agenda compilation, etc)
PA / HR function:
Ensure maintenance of employees’ personal files in compliance with statutory and company requirements Monitor, discuss with Director of Branch office and implement updates and amendments to the RF Labour Legislation
Control and observance of HR orders and internal corporate instructions
Safekeeping of all HR records required by the legislation of RF and company
Supervise correct and timely input of the required data and documentation from HR for payroll calculations, maintain all required HR data in “1C – Payroll & HR” software
Execution of medical insurance for Russian employees
Perform and maintain all documentation covering business trips of the Russian personnel and expats
Accreditation, documents legalization of foreign specialists and their safe keeping
Support to expats to comply with the migration legislation of RF
Recruiting, selection of candidates, interview scheduling/ liaison with recruiting agencies
Liason with HR department in Head office
Requirements:
University degree;
3+ years of relevant experience;
Fluent English;
Literacy in Russian;
Advanced PC User (Microsoft Office);
Excellent organization and time management skills, ability to handle heavy workloads, set priorities and work under tough deadlines, stress resistance.
