Responsibilities:

  • Clerical duties (e-mail, mail, faxes, filing, typing)
  • Arranging conference calls and teleconferences
  • Translations (written and oral)
  • MS Outlook Calendar (meetings and travel schedule)
  • Travel arrangements (business and personal)
  • Working with Contacts database
  • Partner’s visits agenda and travel arrangements
  • Preparing expense reports
  • Off-site management committee and key-staff meetings
  • Arrangement of board meetings (document preparation, distribution of materials, organizing schedules)
  • Ability to give presentations to clients / company contacts in the Partner’s absence
  • Ability to take on short term projects
  • Other responsibilities as assigned by the Partner (apartment lease matters, bills, etc.)

Candidate Requirements:

  • At least 2 years experience in similar position
  • Fluency in English and Russian
  • PC proficiency (Microsoft Word, Excel, PowerPoint, Internet Explorer)
  • Excellent verbal and written communication skills
  • Excellent organizational and administrative skills
  • Ability to prioritize and make decisions with limited supervision
  • Understand the nature of the business and Partner’s role
  • Be able to deal with senior management and clients on their level
  • Extreme attention to details
  • Ability to work overtime

Responsibilities:

  • Answering and transmitting the telephone calls of the department;
  • Arranging meetings (booking rooms, cars, organizing coffee or tea);
  • Assisting managers in preparing contracts, other documents;
  • Coordinating all business trips and travel preparation (booking tickets, hotels, cars, travel expenses for accounting department);
  • Filing the documents;
  • Assisting in organization of corporate events;
  • Assisting to the Directors and the Partner of the Department:
  • Clerical duties, arranging conference calls, translations, Partner’s visits agenda and travel arrangements;
  • Working with contacts’ databases;
  • Preparation of expense reports;
  • Other responsibilities as assigned by the Partner.

Requirements:

  • Higher education degree;
  • English - upper intermediate;
  • Computer literacy (MS Office), high printing speed;
  • Administrative experience not less than a year;
  • Excellent communication skills;
  • Ability to prioritize and make decisions with limited supervision
  • Ability to work in team;
  • Good organizational skills, multitasking, diligence, attentiveness to details.
