The role will include:
Support Firm’s Leadership and Partners of the Strategy&Operations group in the Consulting department:
Full administrative support of the defined group;
Clients meetings arrangements including facilities and catering required;
Research, compile and summarize required materials and prepare various internal reports, assistance in client’s proposals preparation;
Internal events organization (search for the place, catering and providers coordination, internal communication etc.); assisting in preparation of conferences, internal trainings etc.
Providing senior level clerical, secretarial and administrative support for the assigned Partner(s), Director(s) and staff:
Work with initial financial documents and Finance Department;
Coordinating domestic and international travel arrangements for the assigned individuals – order tickets, book hotels, request for per diems, preparation of documents, control over visa obtaining process (work with Visa group);
Collection and filing of vacation request forms; preparing and monitoring vacation schedule for the assigned group; preparing and filing sick leave requests;
Coordination of subscription lists for the department;
Covering for the other team or personal assistants in the department when absent;
Handle a wide range of information requests; assist other group’s members in administrative matters.
The successful candidate should have:
Higher education
Intermediate English (oral, written)
Relevant experience from 3 years in a similar position or in a position of senior secretary/ coordinator/ administrator in multinational companies
Excellent organizational and communication skills
Strong problem solving skills
Proactive, enthusiastic approach when interacting with the assigned partner(s), senior management, peer group, i.e. taking appropriate actions to accomplish tasks without waiting for someone to instruct
