Temporary project for two months.
Overall Purpose
· The purpose of this document is to outline the activities and responsibilities of a Project Administrator, working within Project Management Office.
Responsibility
· To support Customer Project Managers (CPM) in the administrative duties related to the CPM’s scope of work.
· To work within the assigned projects in accordance with contract terms and conditions and company processes, PROPS-C, Sales Process, Core Three etc., and procedures.
· To work according to ISO 9000, 9001 and 14001
Essential Job Functions:
· Provide administrative and support in part of project execution and report
· Schedule internal and external meetings as directed, invite attendees, booking meeting rooms, check equipment (projector, white board, markers, etc.) and confirm attendance
· Attend internal and external meetings as directed, take Minutes of Meeting, record Action Items, draft records of the same and present to the meeting chairman for approval and circulation. If required, obtain written signatures on printed copies of documents.
· Gather and collate financial and other information required for issue of Purchase Orders.
· Purchase Order Requests preparation and place the ones according to the existing procedure
· Gather information and drafts reports / presentations / documentation as requested.
· Projects’ data bases handling
· Compose correspondence, including mail, telephone, or email inquiries for information or to address issues within scope of responsibilities.
· Other tasks not specifically mentioned above but which would improve the project efficiency
