A leading western manufacturer of cosmetics has an opening for Executive Assistant to Group Vice-President.
Responsibilities:
Business value assistance:
Supports GVP in everyday activities: maintaining schedule, proofreading documentation, and executing special projects. Collaborates with multiple departments in improving overall quality and efficiency. Negotiates and finalizes related contracts. Supports to increase efficiency through producing high standards for office documents (templates, invoicing, and vendor accounts). Assists GVP in preparation for business meeting, i.e. translating and/ or compiling presentations
Gathers, evaluates and structures information for GVP. Provides status reports to GVP.
Business meetings and Events:
Plans, organizes, executes Events (WFDSA CEO Council, Moscow; Business review with CEO, Moscow; Russia Investors Meetings, Moscow; EE Operating Council, Moscow; Business Strategy meetings; board dinners and teambuilding activities:
manages all logistics for Board of directors;
issues (business and entertainment);
selects an appropriate venue (incl. getting the best rates for the Company)
sets up professional conference room;
books entertainment and catering;
arranges the design and layout of the premises;
translates the speeches of GVP both in written and orally during events;
manages the budget (taking part in budgeting and forecasting processes; preparing estimates before the event and reports after);
manages and negotiates contacts with suppliers and service providers for events implementation;
maintains vendors information in a special database;
manages relationships with Moscow Hotels acc. to company’s procurement regulations.
Administrative and organization support:
Processes of all correspondence, meetings schedules, telephone calls, presentations; effectively handles travel arrangements (domestic & international), prepares quality expense reports timely acc. to local T&E policy, and calendar of GVP.
Fulfills miscellaneous tasks and projects as assigned by the GVP; is responsible for follow through with all communication with other departments and all outside sources; effectively maintains and insures processes are in place to protect confidential material.
Job requirements:
University degree;
At least 5 years of experience in administrative positions;
Experience with large international companies and supporting expatriates;
Knowledge of protocol and working etiquette;
Well organized, flexible, proactive;
IT knowledge : MS Office, Excel, Power Point, Lotus Notes;
Strong verbal and written communication skills in both English and Russian;
Ability to prioritize multiple tasks and meet deadlines;
