POSITION SUMMARY

The responsibilities include providing of the secretarial, clerical and administrative support and developing efficient back-up activities to the company team.


ORGANIZATIONAL RELATIONSHIPS

Reporting to the Administrative Assistant.


SCOPE OF RESPONSIBILITY

  • Provide daily support carrying out efficient back-office activity (administration, filing, handling the necessary information from the customers and provide it to an appropriate person);
  • Receive, direct and relay telephone messages and fax messages;
  • Managing incoming and outgoing correspondence, including its registration, tracking and ordering; maintenance of the couriers for the office staff and the Logistic Department separately;
  • Operating with a primary accounting documents;
  • Contact and support to colleagues from the remote offices;
  • provide support of the daily needs to the office: make water orders and  office supplies orders communication with the providers, resolving vexed questions;
  • Complete travel support to the office team and the remote staff as well, including hotel and ticket booking, taxi order;
  • Welcoming guests and visitors, tea/coffee for guests;
  • Organizational support for the office and business events, including presents delivery according to the mailing lists, distribution of invitations;
  • Keep tracking reporting accountant documents on ticket and hotel orders to be submitted to the company on fact.

SPECIAL KNOWLEDGE, SKILLS AND ABILITIES 

  • Excellent written & verbal communication skills to ease communication
  • Ability to manage multiple relationships and working in an international team environment
  • To be punctual, attentive to the details, self-organized, customer service orientation
  • 0-2 years of experience in assistant position.
  • Ability to work under pressure; readiness to fulfill multitasks; ability to manage time & priorities; reactivity; excellent interpersonal skills; problem solving skills; energetic and proactive person.
  • Native in Russian Languag, Fluent in English;
  • MS Office (Word, Excel)

  •  Proven ability to work with numbers and spreadsheets ( economic  degree is preferable)
  • Experience of analysing financial or other commercial data is appreciated
  • Advance level systems application experience in Visio, Microsoft  Excel and PowerPoint is essential
  • Ability to use internet for research
  •  Self-starter who is able to work with minimal supervision
  • Quality service ethic is essentialHighly effective communication skills including an excellent standard of written and spoken English
  • Comfortable working with figures
  • Excellent organization and prioritization skills, with the ability to manage own time effectively and to work well under pressure
  • Strong adaptability, team and interpersonal skills
  • Flexibility in working schedule and in working for more than one manager
  • Ability to demonstrate use of initiative and self-starting ability
  • Demonstrated diplomacy in dealings with service areas, consultants, and clients
