A personal/executive assistant (PA/EA) works closely with a Partner to provide day-to-day administrative support. PA/EA helps partner to make the best use of his time by dealing with secretarial and administrative tasks. Current position includes also office management and translation/interpretation tasks. Partners often rely heavily on their PAs/EAs, trusting that work will be handled efficiently in his or her absence. For this reason, the PA-Partner working relationship is often very close discretion and confidentiality are therefore essential attributes.
Responsibilities:
Administrative:
Comprehensive daily executive assistance to the Partner of the firm: maintain schedule, keep records, correspondence, populate contact database, typing, filing, amending documents;
Communication with the clients, staff co-workers, consultants, vendors and visitors;
Arranges travel plans and schedules for Partner including transportation, visas and accommodations;
Organisation of visa applications for the Partner and company guests on a need be basis;
Handles distributions (fax, courier, messenger, mail), including duplicating and binding;
Answers telephone calls and takes messages;
Office management:
Dealing with day-to-day issues on office management, supervision of office facilities maintenance, including security, IT, services
Supervision of contract relationships with vendors
Planning and supporting internal office meetings and corporate events
Translation and document flow:
Performs English-Russian and Russian-English translation and interpretation as necessary, supervision and co-ordination of translators' work;
Types, proofreads, and edits Russian and English correspondence;
Devising and maintaining office systems to deal efficiently with paper flow; and the organisation and storage of paperwork, documents and computer-based information.
Requirements:
3+ years experience in administrative role in an international company (at service or management consulting company is a plus)
Excellent command of English, experience in translation/interpretation, PC experienced user (Lotus Notes, MS Office)
Disciplined, self-organized with excellent Russian and English communication and client-facing skills and ability to work under pressure
Flexibility, adaptability and a commitment to work within an international team
Client-service oriented
Demonstrated diplomacy in interpersonal professional settings

Busy expat executive for an international company requires an exceptionally diligent travel coordinator. This is a demanding role involving co-ordination of multiple travel schedules from other travelling colleagues as well as personal matters in numerous time zones. This position will be suitable ONLY for a highly ambitious candidate willing to work hard and irregular hours for good compensation. Those wishing an easy role and regular working hours NEED NOT APPLY.
Responsibilities:
· Maintaining multiple travel schedules;
· Booking air flights, hotel reservations, meetings and making other travel arrangements;
· Assuming other PA responsibilities as well as performing ad hoc tasks.
Requirements:
· Fluent English is a must;

· A highly organized and responsible person;
· At least 1 year experience in arranging executive travel.
