KEY DUTIES:

  • Manage Partner and Principal diaries and arrange internal/external meetings
  • Basic information gathering for meetings, telephone calls and appointments to adequately prepare Partner / Principal
  • Manage extensive and complex travel arrangements across timezones
  • Prepare basic correspondence on behalf of the Partner / Principal
  • Identify critical issues and disseminate required information/actions to other members of the practice from the Partner / Principal/post/e-mail/voicemail
  • Prepare spreadsheets, graphics, drawing tables etc in Power Point
  • Take dictation when necessary
  • Filing including creating and maintaining filing systems
  • To support Practice on different initiatives
  • To support Partner with billing requirements
  • To support other Executive Assistants as required
  • Undertake any other ad hoc responsibilities as requested


REQUIREMENTS:

  • Experience of a professional services environment
  • Good organizational skills
  • Higher education
  • Ability to work under pressure, manage own workload and prioritise, working to strict deadlines
  • Excellent communication skills including excellent telephone manner
  • Ability to interact well at all levels
  • Proactive, professional and confident approach
  • Attention to detail
  • Team oriented
  • IT literate - Microsoft Windows (Outlook, Excel, PowerPoint, Word)
  • Fluent in Russian and English – both spoken and written, other languages are an advantage

A senior french company, one of the leader in HR sphere, is seeking for an administrative manager, to ensure many differents tasks, as outstaffing, payroll, and visa management service for foreigners.
This person will report directly to General Director (expat)

Responsibilities:

  • Outsatffing / Payroll personnel management:
    • Salaries: take care that salaries and invoices to client are made in time.
    • Following travel expenses and operating costs: get the needed authorizations from the client according to contracts.
    • Advice the employee, control the pertinence of his expenses with the authorizations.
    • Follow the advance/refund to the employee and the invoice payment to the providers.
    • Invoice the expenses to the client.
  • Administration:
    • Organisation of the internal and external documents flow (invoices, akts, contracts, official letters, orders...);
    • Manage invoicing to clients: establish and follow the payments and act reception.
    • Bring or send the invoicing documents to clients.
    • Prepare payments in the banking program (in roubles and foreign currency).
    • Timely transmit all necessary documents to the Chief Accountant.
    • Internet Site: coordination and management.
    • Managing and following requests to operating providers and governmental authorities.
    • Management of all other occasionally administrative issues.
  • Visa Management Service:
    • Follow the service contracts with clients (establishment expired period, …).
    • Work Permit/Visa/Un & Registration:
    • Follow the planning of all the concerned employees and take necessary actions to inform the clients/employees.
    • Take care about establishing and control the documents needed for the Work Permit/Visa/Un & Registration applications.
    • Make the application in the local authorities.
    • Transmit the Work Permit/Visa/Un & Registration to the employees/clients.
    • Invoice the services (management and official documents) to the client.

Requirements:

  • Finished higher education.
  • 3 /4 years of experience in personal assistance and/or first experience in accounting.
  • Experience to follow documents flow, internal and external rules and procedures.
  • Understanding of rules and legal constraints in accounting, invoicing and reporting issues.
  • English and/or French upper intermediate (able to write spontaneously by himself).
  • Ability to retain and answer in time to the clients’ requests.
  • Perfect understanding of Word & Excel, Photoshop is a +.
  • understanding of rules and legal constraints in Work Permit/Visa/Un & Registration regulation is a plus.
  • understanding of rules and legal constraints in HR payroll issues is a plus.
